Why December needs a fixed fare

On the second and third Fridays of December the apps do what they always do when the whole of London wants a car at once: the price you saw at 6pm is not the price you are offered at 11.45pm, and the driver who accepts may still cancel when a better job appears. Choose the vehicle: saloon, V Class or minibus

Every vehicle is priced per car, so an V Class shared by eight is usually cheaper per head than two app cars, and it leaves together. Tell us the headcount and we will say which vehicle, or which combination, does the night for the least money.

We quote every Christmas job as a fixed fare per vehicle per leg: office to venue, venue to home, and the pickups in between if the night moves on. The fare includes the driver, fuel, the Congestion Charge and ULEZ where they apply, and waiting time agreed at booking; if the speeches overrun, the driver waits at the venue for the time you booked and the price does not change. Christmas Eve, Christmas Day, Boxing Day and New Year’s Eve are covered at the same fixed rate, with no surcharge, because the whole point is that December does not cost more than March. When to book, and how the night works

Peak nights are the Thursdays and Fridays from the first week of December to the weekend before Christmas, and the two Fridays in the middle are the busiest of the year. For those dates we recommend booking by early November; for a Tuesday in the first week, a fortnight ahead is usually fine. What we need is the date, the office and venue addresses, the headcount, a pickup time for the outbound leg and a rough return time, which you can firm up on the day by phone or WhatsApp. For the return we suggest naming a departure time rather than “when we finish”, and building in 15 minutes for coats and goodbyes: the driver waits, and the fare does not change.

Corporate accounts, invoicing and paying for a group

For an office party the simplest arrangement is a corporate account: the company books the vehicles, the journeys are logged with the passenger name and cost centre, and finance receives one itemised invoice in January instead of thirty expense claims and a photo of a receipt. An account is usually open within one working day, and it works for the rest of the year’s travel too. For a private group, one person books online and pays by card, PayPal, Apple Pay or Google Pay, or puts down a 30% deposit and settles the balance 24 hours before the night. How to book

1. Tell us the night: date, venue, headcount, outbound pickup time and a return time, on the booking page, on WhatsApp at +44 7466 237870 or by phone on 020 8888 9988.
2. Get the fixed fare per vehicle and per leg, and confirm by card, PayPal, Apple Pay or Google Pay, or a 30% deposit. Free cancellation up to 24 hours before pickup.
3. The day before: the driver’s name, photo and registration arrive for each vehicle, with the organiser’s number on file for changes.
4. On the night: the driver texts on arrival at the office and again at the venue, waits for the time you booked, and drops everyone home across London, Kent, Essex and Surrey.

Licensing, safety and help on the night

Drivers hold TfL private hire licences with enhanced DBS checks, vehicles are licensed, inspected and insured, and the company carries £10m public liability cover; the vehicle shows TfL roundels and the driver carries a TfL badge.
