Short answer: your driver is in the arrivals hall, at the barrier, holding your name. They have been tracking your flight, they have already paid to park, they help with the bags and they walk you to the car. It is included in the price of every airport pick-up. Nothing to download, nobody to phone from a kerb in the rain.
For every pre-booked pickup at Heathrow and Gatwick, your driver is in the arrivals hall, name board up, within 60 minutes of your flight touching down. If not, the ride is free. It applies to every vehicle and any number of passengers, and it is written into your booking confirmation.
The evening before your journey you get a WhatsApp with your driver's name and TfL badge number, so you know who is coming before you go to sleep. The car model and number plate follow before pickup.

Every pre-booked driver waits inside the arrivals hall, in front of the doors you walk through after customs, holding a board with your name. Not at the taxi rank outside and not in a car park. If you cannot see the board, stay where you are and message the number on your confirmation; the driver comes to you.

Waiting is free for 60 minutes after touchdown; the pickup is timed to the flight's actual landing, not the scheduled one.

Plenty of quotes offer "meet and greet" as an add-on and default to a kerbside pick-up where you call the driver on landing and wait outside. That is cheaper to run, and it is where most late-night airport problems begin: wrong exit, no signal, a driver moved on by airport staff. Meeting you in the hall costs us a car park ticket and twenty minutes of the driver's time; it saves you the only part of the journey that ever goes wrong. It is part of what the fixed price includes.
