The six movements

Almost every wedding follows the same shape. Naming the movements makes the planning obvious, and it turns a vague worry into six lines on a schedule.

Sizing the guest shuttle

The commonest error is booking too small and running the shuttle four times, which takes longer and usually costs more than one larger vehicle would have.

Work out how many guests actually need moving, which is rarely the whole guest list. Local guests often drive to the ceremony and leave the car; it is the ones staying in hotels who need the shuttle in both directions.

The leg couples forget

The end of the night. It is not glamorous, it does not appear in any planning checklist, and it is the one guests talk about afterwards.

Picture a beautiful barn venue down a single-track lane in the Weald at half past eleven. The bar has closed. Thirty guests are standing in a car park with no phone signal trying to book taxis that are not coming, because there are no taxis within twenty miles that have not been booked weeks ago by somebody more organised.

Arranging this in advance costs comparatively little and is the single kindest thing you can do for your guest list. It can run as several trips over an hour or two as people drift away, rather than everyone leaving at once.

Rural venues and the parking problem

Kent is full of exceptional wedding venues with a courtyard that holds twelve cars. That is charming until sixty guests arrive and the lane outside becomes a car park.

A shuttle from a nearby town, or from wherever guests are staying, removes the problem entirely and has a useful side effect: guests who would otherwise be driving can actually drink at your wedding. Several venues now require a transport plan for exactly this reason, so it is worth asking yours what they expect.

Practical arrangements

Nominate a contact who is not you

On the day, the couple should not be answering questions about minibuses. Give us one person — a best man, a bridesmaid, a planner or a reliable relative — and we deal exclusively with them. They hold the driver's number and handle the head counts.

Expect the timings to drift

They always do. Photographs overrun, speeches overrun, and nobody moves promptly at a wedding. The driver waits rather than working to a stopwatch and the fixed price does not change for it.

Book early

Summer Saturdays between May and September are the tightest dates in our calendar, competing with proms, festivals and county events for the same vehicles. Book when you book the venue. A provisional reservation costs nothing to adjust as numbers firm up, and it means the minibus exists.

Consider a weekday or winter date

If your date is flexible, a Friday or a winter Saturday costs less across almost every supplier a wedding uses, transport included, and availability is far better.

When should we book wedding transport?

How many guests actually need the shuttle?

Usually fewer than the full guest list. Local guests often drive to the ceremony and leave the car; the shuttle is mainly for guests staying in hotels, who need it in both directions. Count that group rather than everybody.

Do we really need transport at the end of the night?

At a rural venue, yes. Kent at midnight has effectively no taxi availability, and this is the leg guests remember. It can run as several trips as people leave rather than one large movement.

Who does the driver deal with on the day?
