RushXO provides pre-booked private hire for teaching and support staff — getting to a school before the bell, covering several sites in a week, travelling to training and meetings, and the journey home after a parents' evening. Arranged in advance, at a fixed fare where applicable, and invoiced to the school where an account is in place.

Two things make these journeys different from ordinary work travel: the deadline doesn't move, and the road outside a school at twenty to nine is the worst road in the area. We plan backwards from the bell and drop you somewhere you can actually get out.

Booking on behalf of staff? A school account means a purchase order, a monthly invoice and one contact — rather than a dozen people claiming expenses. That's the section for you.

The morning

Getting There Before the Bell

Most work journeys have a soft deadline. This one doesn't. If you're covering a class, the class starts whether or not the traffic cooperated — and the traffic almost never does, because the twenty minutes before the bell are the worst twenty minutes of the day on every road within half a mile of a school.

So tell us the time you need to be in the building, not a pickup time. We work backwards from it through the route, the school-gate congestion and a margin, and we tell you what time we'll collect you. If the answer is earlier than you hoped, you'll know the night before rather than at 8.35 in a stationary queue.

If you're on supply or covering at short notice

  • Book the night before where you can. Early-morning bookings are easier to arrange with a few hours' notice than a few minutes'.
  • Give us the school name and the postcode. Schools with similar names in the same borough are a common cause of a driver going to the wrong one — the postcode settles it.
  • Say if you've never been. We'll look at the access before the day rather than working it out on the approach.
  • Tell us if it's likely to repeat. If you're at the same school for a week or a term, book the run as a block — see regular bookings.
The practical bit

Getting to a School Address, Properly

School addresses defeat satnavs more often than almost any other destination, and the reasons are consistent enough to plan around.

  • The road may be closed. A growing number of schools sit on School Streets — timed closures that bar vehicles from the road outside at drop-off and pickup. A driver aiming for the gate at half past eight may find a barrier across it. If you know the school has one, tell us and we'll plan a drop at the edge of the zone with the walk built into the timing.
  • You can't stop on the zigzags. Not for a moment, not to let someone out. The nearest legal stopping point may be a couple of hundred metres away and that needs to be in the plan rather than a surprise.
  • Which entrance? Large sites often have a main gate, a separate visitor entrance, a staff car park entrance and a delivery gate — and at eight in the morning they behave very differently. Tell us which one you need.
  • Reception may be somewhere else entirely. On a split site or a large secondary, the building you sign in at isn't always the one nearest the road.
  • One-way systems and coned-off zones appear and disappear around drop-off. Anything you know, put in the booking notes.
  • Gates that lock. If the gate you need shuts at a particular time, that's a harder deadline than the bell — say so.

The most useful thing you can send us is whatever the school tells visitors. Most publish arrival instructions for supply staff and visitors, and forwarding that is worth more than any address.

Recurring journeys

Regular and Multi-Site Work

Plenty of these journeys repeat — a term-long placement, a weekly commute, or a peripatetic pattern covering three or four schools across a week.

  • Book the pattern, not the journeys. Set it up once and it runs. Less admin for you and one fare to budget against.
  • Pause it for holidays. Half terms, INSET days, strike days, a week off — tell us and we'll pause rather than making you cancel each one.
  • Multi-site days quoted as one booking. If a day covers two or three schools, send the whole route and the times you need to be at each. Multi-stop journeys can be arranged where available.
  • Fixed fares where applicable, so the cost is predictable across a term rather than something to check each week.
  • Changes are normal. Timetables move. Tell us and we'll adjust the pattern rather than starting again.

School Accounts and Invoicing

Written for whoever actually arranges this — a business manager, a school administrator, a head of department with a budget line.

Expenses claims are a poor way to run staff travel. Staff pay out of their own pockets, some don't bother claiming, receipts go missing, and nobody has a clear picture of what's being spent. An account fixes all of that at once.

  • One account, many staff. Anyone you authorise can book against it. No cards, no cash, nothing to reclaim.
  • Purchase order references carried on the booking and shown on the invoice.
  • A monthly invoice with a breakdown by journey, date and passenger, so it can be checked and coded without a phone call.

Confirm before publishing that the finance process can genuinely do all of this: purchase order references stored against a booking and reproduced on the invoice, a monthly consolidated invoice with a per-journey breakdown, and a named account contact. If any part can't be delivered, cut that bullet rather than softening it — a business manager will test this within the first month and the account is lost if it doesn't work.

What This Service Is, and What It Isn't

This is transport for staff. Teaching staff, support staff, visiting specialists, and anyone travelling on school business.

We don't carry pupils. Home-to-school transport, school trips and SEN transport are arranged separately by local authorities and schools, through contracts with their own driver vetting, vehicle standards and safeguarding requirements. RushXO doesn't hold those contracts and we're not going to imply we do. If you're looking for pupil transport, your local authority's school transport team is the place to start.

If that changes — if RushXO goes through the process and is approved to carry pupils — we'll say so here, with the detail, and you'll be able to check it.

Checks and licensing

Licensing and DBS, Stated Properly

You deal with this paperwork more than most of our customers, so here it is without the usual vagueness.

  • Operator licence. RushXO holds a private hire operator licence issued by [NAME THE AUTHORITY], licence number [NUMBER]. That's what permits us to take pre-bookings.
  • Driver and vehicle licences are held by the individual driver and the individual vehicle, issued by the authority for the area they're licensed in. Where a journey requires it, drivers hold the relevant TfL private hire licence for London work.

This is the most scrutinised section on the page. A school business manager reads safeguarding paperwork weekly and will spot imprecision instantly. Fill every bracket with the accurate position, and if a check isn't in place, say what is rather than implying more. Note also that drivers carrying only adult staff are not in a regulated activity with children — do not overclaim the level of check as a selling point if it isn't required and isn't held.

Training and meetings

CPD, Conferences and Off-Site Meetings

Training days, exam board meetings, moderation, network meetings, subject association conferences, interviews and school visits — usually somewhere unfamiliar, usually with a fixed start, and usually something the school is paying for.

  • Tell us the start time, not a pickup time. Same rule as the school run: we work backwards.
  • A written fare for the claim, issued with the booking so nobody is chasing a receipt afterwards. On an account, it goes straight onto the invoice instead.
  • Groups travelling together. Four people to the same training is one vehicle rather than four claims — see group and 8-seater transfers.
  • Longer journeys between towns and cities in one leg, with a station transfer where part of the trip is by rail.

Evenings

Parents' Evenings, Open Evenings and Late Finishes

The school calendar has a handful of evenings a year that finish late, finish tired, and finish with the car park emptying faster than anyone expects. Parents' evenings, open evenings, productions, awards evenings, results days.

  • Book the return in advance. Nine o'clock outside a school is not a good moment to start arranging transport.
  • Build in slack. These things overrun, reliably. Book a realistic finish rather than the published one, and tell us if it's likely to move.
  • Several staff heading the same way can share a vehicle, split between them or on the school account.
  • Fixed fares where applicable — the same journey costs the same at nine in the evening as at nine in the morning.
  • A named pickup point. A specific gate or a lit spot away from the main exit, agreed at booking rather than described over the phone in the dark.

Accessibility and Travel Requirements

Requirements vary and so do vehicles, so what we can arrange depends on your specific need, your location and your date. Tell us before booking rather than hoping on the day.

  • Step-free or easier access into and out of the vehicle
  • A folding wheelchair, walking frame or other mobility aid travelling with you
  • Extra time at pickup and drop-off
  • Assistance with bags — including the boxes of books and equipment this job seems to involve
  • An assistance dog travelling with you, at no additional charge

Privacy

  • We ask for what the journey needs. Addresses, times, a contact number. Not the reason for the trip.
  • Your driver gets the operational minimum — the booking name, the addresses, the time and any notes you've added as instructions.
  • On a school account, the school sees what it is invoiced for: journey, date, passenger and any purchase order reference. It doesn't see anything else, and personal journeys should be booked personally rather than on the account.
  • No categorising. Bookings aren't tagged or grouped by anything about the passenger.
  • Retention. Booking records are held for [X] as required for accounting and licensing, then deleted. Detail in our privacy policy.

    Not a pickup time. The bell, the meeting, the sign-in deadline — we work backwards from it.

  2. Give us the school name and postcode

    Both. Similar school names in the same borough are a common cause of a driver arriving at the wrong site.

  3. Say which entrance, and anything you know about access

    Visitor gate, staff car park, a School Street closure, a gate that locks. Forward the school's own visitor instructions if you have them.

  4. Tell us if it repeats

    A week, a term, every Tuesday — we'll set it up as a pattern rather than as separate bookings.

  5. Book the return if there is one

    Especially for an evening event. It's the leg that disappears first.

  6. Say whether it's personal or on an account

    If it's on a school account, give us the purchase order reference and it goes on the invoice.

  7. Confirm the quote

    Where fixed pricing applies, the quoted fare is the fare you pay, and you'll have it in writing for the claim.

The same applies to the zigzag markings, where a vehicle can't stop at all — we'll plan the nearest legal stopping point in advance.
