South Asia covers many countries, languages, religions and traditions, and travel needs vary enormously between individuals and families. We don't assume anything about yours. What this page describes is the logistics of particular kinds of journey — long-haul arrivals with a lot of luggage, weddings spread across days and venues, family visits that move around the country — rather than anything about the people making them.

Asian Wedding Transport

Weddings with South Asian connections vary enormously — in length, in structure, in the number of separate events, in scale, and in the traditions involved. Some run across several days at several venues; some are a single afternoon. Many are multicultural, combining traditions from more than one family. We assume none of it. You tell us the schedule; we build the vehicles around it.

The parts we're asked to cover

  • Guest arrivals over several days, from UK cities and from overseas, into different airports at different hours — coordinated rather than booked one at a time
  • Hotel-to-venue transfers with several vehicles departing together, so guests arrive as a group rather than trickling in

If a venue is some distance from where guests are staying, or has limited parking, or sits somewhere with no local taxi supply, that's worth solving months ahead rather than in the final fortnight.

Things worth mentioning when you book

  • What's travelling as well as who — outfits, gifts, items for the events. The return leg usually carries more than the outbound.
  • Guests split across several hotels, which changes how many vehicles leave from where.
  • One nominated contact per day, ideally not the couple.
  • Any timing that can't move. Give us the time you need to be there and we'll work backwards from it.

Planning a Month of Travel, Not One Journey

When relatives come from overseas for an extended stay, they rarely stay in one place. A typical visit produces something like: arrival at Heathrow, a few weeks with family in one city, a trip to relatives in Leicester or Birmingham, another to Manchester or Bradford or Glasgow, then back, then the airport again. Six or eight separate journeys, spread across a month or more, usually arranged by the same person in the family.

Almost everyone books those one at a time, weeks apart, starting from scratch each time. Tell us about the whole visit at the start instead and we'll do something more useful:

  • Quote the legs you already know about, so the cost of the visit is a known number rather than a series of surprises.
  • Keep the details on file for the trip — addresses, who's travelling, luggage, the contact number, any mobility requirements — so each subsequent booking is a two-minute conversation rather than a fresh form.
  • Get the vehicle right each time, including the leg back to the airport, which is almost always the heaviest.
  • Add legs as plans change, because they will. Nobody knows in week one that there'll be a trip to Bradford in week four.

You get one point of contact for the visit rather than starting again every fortnight. It costs no more than booking piecemeal, and it removes the job of remembering.

Long-Haul Arrivals: Luggage, Timing and Who We Call

Three things go wrong on long-haul arrivals more than anything else, and all three are fixable at the point of booking.

The vehicle is too small for the bags

This is the single most common failure on these journeys. People count passengers accurately and estimate luggage optimistically, and a long stay means considerably more than a week's holiday would. Four people arriving for two months is not the same booking as four people arriving for a weekend, even though the passenger count is identical.

  • Tell us the number of bags, not just the number of people, and roughly what size — large suitcases and cabin bags take very different amounts of space.
  • Mention anything unusual: boxes, a musical instrument, a folded pushchair, gifts, anything that doesn't stack.
  • The return leg is heavier. Almost always. If we're booking the departure at the same time, size that one up.
  • A second vehicle for luggage is sometimes cheaper and always less stressful than trying to make one work. We'll tell you if that's the case rather than discovering it in the car park.

The flight lands and nobody knows what's happening

Where flight monitoring is available, give us the flight number and the transfer follows your actual landing time rather than the schedule. Eligible airport bookings include complimentary waiting of up to 60 minutes, subject to our booking terms — which matters on long-haul arrivals, where border control and baggage reclaim can take a long time and nothing about it is predictable.

Who the driver should call

Here's a small thing that makes a disproportionate difference. When an older relative is flying in alone and the booking was made by family already in the UK, the driver doesn't have to call the passenger.

  • Nominate whoever should be contacted if anything changes — usually the person who booked, not the person who has just got off a fourteen-hour flight in an unfamiliar airport.
  • Tell us exactly what name to put on the meet & greet board, in whatever form the passenger will actually recognise at a glance.
  • Tell us if you'd like a call once they're in the car, so you know they've been met without anyone having to work out how to phone you.
  • Say if someone would benefit from extra time, help with bags, or a slower walk to the vehicle.

None of this requires anyone to explain anything about themselves. It's just a better way to arrange a pickup.

Families

Family and Multi-Generational Travel

Families travel in all sorts of configurations — two people or ten, one generation or three. What matters for a booking isn't the size but the specifics.

  • Passenger and luggage counts, separately. Both drive the vehicle choice, and they're often very different numbers.
  • Who needs the easiest access. A high step or a long walk from the drop-off matters more than a postcode does.

  • Split arrivals. Where family lands across several flights, we'll advise whether one vehicle waiting or separate transfers works better once we see the times.
  • One nominated contact for driver updates rather than five people calling at once.

Group and 8-seater vehicles are available where the option applies to your route and date. We don't operate minibuses or coaches — where a group is genuinely large enough to need one, a coach operator is the better answer and we'll say so rather than stretching to fit.

Cultural, Community and Religious Events

South Asian communities in the UK are religiously and culturally diverse — people mark different occasions, in different ways, and many mark none. We never assume which apply to anyone, and we don't need to know. Tell us the venue and the times and we'll plan around them.

Occasions we're regularly asked to cover include Diwali, Eid, Vaisakhi, Navratri, Durga Puja, Onam, Pongal and a wide range of other cultural, religious and community events — alongside conferences, exhibitions, fundraising dinners, community meetings and social gatherings that have nothing to do with any calendar at all.

What tends to help

  • Book earlier than an ordinary week around major occasions. Demand concentrates into narrow evening windows and availability goes first.
  • Allow more time than the distance suggests. Roads immediately around a large gathering are the slowest part of the trip.
  • Agree a pickup point away from the main entrance at busy events — a short walk to a quieter street is almost always faster than waiting in the crush.
  • Give the venue name and the street, plus the entrance. Community buildings are often set back from the road, share an address, or sit behind gates a satnav won't find.
  • Book the return with the outbound, particularly for evening events.
  • Dates move. Many occasions fall on different dates each year and vary between traditions. Tell us your dates rather than assuming we know them.

Student Arrivals and Business Travel

The September arrival

International students arriving for the start of an academic year land with more luggage than almost any other passenger type, usually at Heathrow, and usually need to reach a university city a long way from it. Often parents fly in too, help settle things over a few days, and fly home again.

  • One journey instead of two trains and a bus, door to accommodation, with everything in the vehicle
  • Size the vehicle for the bags — a year abroad is not a suitcase
  • Halls and campus addresses can be genuinely hard to find, and arrival day means road closures and queues. Give us the building name and any arrival instructions the university has sent
  • Parents' return to the airport a few days later, booked at the same time
  • Later visits — family coming for graduation, or a student travelling home for a break, quoted as part of the same relationship

Arrival day is when a pre-booked car earns its keep — after a long flight, in an unfamiliar terminal, often with more luggage than expected. Booking in advance fixes the price, the vehicle and the meeting point while there's still time to think.

UK distances are deceptive

London's airports are further from the centre, and from each other, than visitors often expect, and cities that look close on a map can be several hours apart in practice. If there's a time you need to be somewhere, tell us and we'll say honestly whether it works.

If anything matters — luggage capacity, a fixed arrival time, who the driver contacts, what happens if the flight is delayed — ask first. We'd rather answer a question than fix a problem.

Stops, Food and Your Own Itinerary

Dietary preferences vary widely between individuals and families — vegetarian, vegan, halal, Jain, and every other personal requirement — and none of it can be inferred from where somebody is from. Where you eat is your decision, and there are plenty of independent apps and resources for finding places that suit you.

What we can do is drive the itinerary you've chosen:

  • Name a stop if you'd like one — a particular restaurant, town or service area on a long route — and we'll build it into the route and the quote.
  • Or tell us roughly where along the journey and we'll suggest somewhere practical.
  • Travelling with food for an event or a family gathering is common and completely fine. Tell us roughly how much space it needs.

Accessibility

Accessibility and Travel Requirements

Requirements vary and so do vehicles, so what we can arrange depends on your specific need, your location and your date. Tell us before booking rather than hoping on the day — this matters especially for elderly relatives arriving from a long-haul flight, who may be more tired than usual and less steady than they'd normally be.

  • Step-free or easier access into and out of the vehicle
  • A folding wheelchair, walking frame or other mobility aid travelling with you
  • Airport assistance — if the passenger has arranged special assistance with the airline, tell us so the driver knows where and when to expect them
  • Extra time at pickup and drop-off, so nobody is rushed
  • Additional luggage, or items for an occasion
  • A carer, companion or family member travelling in the same vehicle
  • A specific drop-off point relative to a particular entrance

Privacy and Respectful Service

  • We ask for what the journey needs. Addresses, times, passenger and luggage numbers, a contact number. Not the reason for the trip.
  • Your driver receives the operational minimum — booking name, addresses, times and any notes you've added as instructions. Nothing else.
  • No categorising. Bookings aren't tagged or grouped by destination type, community, nationality or anything about the passenger.
  • Drivers are professional and neutral. No commentary on passengers, no personal questions to fill silence, and no discussion of politics or religion — including if a passenger raises it.
  • Retention. Booking records are held for [X] as required for accounting and licensing, then deleted. Detail in our privacy policy.
  • Details kept across a visit are held only to make your next booking quicker, and only for as long as you want them. Ask us to delete them at any point.

Can I arrange transport for family visiting the UK for several weeks?

Yes, and it's much easier than booking each journey separately. Tell us the outline of the visit at the start — arrival, where they'll be staying, any trips you already know about, the departure — and we'll quote what we can and keep the details on file so each later booking takes a couple of minutes. Add legs as plans change, because they will.

My family are arriving with a lot of luggage — will the vehicle fit it?

Can I book transport for a student arriving for university?

Yes. Give us the flight details, the accommodation address with the building name, and an honest bag count — a year abroad is not a suitcase. Arrival weeks are busy at universities and availability tightens, so book early. Parents' return journeys to the airport can be booked at the same time.

Can I book a group vehicle, and are 8-seaters available?

Where the option applies to your route and date, yes. Give us passenger and luggage counts — both matter, since eight seats and eight large cases don't fit in the same vehicle. We don't operate minibuses or coaches; if a group genuinely needs one, we'll say so.

Can I arrange transport for a multi-generational family?

Yes. Tell us who would benefit from the easiest access or the shortest walk from the drop-off, whether anyone needs extra time, and whether any children need seats. We'll plan the vehicle and the pickup point around that rather than around the postcode.

Can I request airport meet & greet, and can my flight be monitored?

Meet & greet is available on eligible airport bookings — your driver waits in arrivals with a name board. Where flight monitoring is available, give us the flight number and the transfer follows your actual landing time. Eligible airport bookings also include up to 60 minutes of complimentary waiting, subject to our booking terms, which matters on long-haul arrivals.

Can I request an executive vehicle?

Yes, alongside standard options and subject to availability on your route and date. Ask us to quote both if you'd like to compare. We don't supply decorated, vintage or ceremonial vehicles unless confirmed separately.

Can I book long-distance UK travel?

Yes, city to city across the country, in one leg with the luggage. Stops on the way can be arranged — tell us where and roughly how long and we'll build it into the quote.

How far in advance should I book for a wedding or large event?

For a wedding, as soon as the venue and dates are fixed — multi-vehicle availability on a specific weekend goes first, especially in summer. For cultural occasions, earlier than an ordinary week. For a family visit, tell us the outline as soon as flights are booked. It costs nothing to ask us to check a date.
