Most of these journeys go wrong for the same reason: they get planned forwards from the flight instead of backwards from the thing that can't move. Tell us the time you need to have arrived, and we'll work out the rest.

University arrivals

Airport to Campus, in One Journey

Landing at Heathrow and getting to a university in Manchester, Nottingham, Durham, Bath or Sheffield is a genuinely awkward trip to make by public transport with a year's luggage — a train into central London, a walk across a terminus with three heavy cases, a second train, then a taxi at the other end. A pre-booked car does it in one leg, door to door, with everything in the boot.

The check-in window is the thing that matters

Halls of residence usually have set arrival hours, and they close. That, rather than your flight time, is what the journey has to be planned around — so tell us the window and we'll work backwards through the drive, the border queue and the baggage hall to decide what time we collect you.

If the flight you're looking at doesn't leave enough room, we'd rather tell you before you book it than after you've landed. Send us the details early and we'll say honestly whether it works.

What to tell us

  • The university and the specific hall. "University of Manchester" isn't an address — a large university has halls scattered across a city, and they're often nowhere near the main campus. Give us the hall name and postcode from your accommodation email.
  • Your check-in window, if the accommodation office has given you one.
  • Flight number and terminal. Where flight monitoring is available, the transfer follows your actual landing rather than the schedule — and long-haul arrivals slip. Eligible airport bookings include complimentary waiting time of up to 60 minutes, subject to our booking terms.
  • Passengers and large cases, as two separate numbers. A year abroad usually means two or three big cases per person, and the boot is the constraint rather than the seats. If a parent is travelling too, count them and their luggage as well.
  • Anything oversized — a musical instrument, sports equipment, a bike box. It changes the vehicle rather than just the packing.

The journey back, and the ones after that

Term ends, and so does the year. The same journey in reverse is easier to arrange than the first one because you'll know the address, and it's worth booking as soon as you have flight dates — end of term concentrates a lot of people into a few days. If you'd rather set up the return at the same time as the arrival, we can quote both together.

Content team. Confirm before publishing: that long-distance airport-to-campus journeys are genuinely offered at a fixed fare, at what price band, and — critically — that operations can supply vehicles through the September peak, when the entire demand for this section lands in about a fortnight. Booking From Abroad, and Finding the Car

Plenty of these journeys are booked by someone who isn't travelling — a parent in another time zone, a company, a relative already here. That's straightforward, and so is making sure the person actually flying knows exactly what to look for.

Booking for someone else

  • Give us the traveller's name and mobile number as well as your own. The driver contacts the passenger directly; you get the confirmation and the receipt.
  • You can pay for it entirely. The fare is settled by whoever books it, with nothing to handle at the end of the journey.
  • Time zones are fine. Send the details whenever suits you and we'll reply — tell us if there's a window when you'd rather not be called.
  • Written confirmation goes to both of you, with the reference, the fare, the meeting point and the driver's details once assigned.

Things you can ask for at booking

These are options, listed alongside child seats and extra luggage. Ask for any of them, no reason needed — and skip them if they're not useful to you.

  • Meet & greet in arrivals rather than a kerbside pickup, where available on your booking — the driver waits inside with a name board showing the name you've given us. Worth having on a first arrival at a large airport.
  • Driver name, photograph, vehicle and registration sent in advance, where available, so you know exactly what you're looking for before you land.
  • The name on the board written as you want it. Tell us the spelling, the order, or the name you'd rather we used.
  • A printed confirmation with the destination address written out, which is simpler to show someone than to explain.
  • A specific meeting point, if you'd rather be collected somewhere particular.

Long-haul

Early Arrivals, Late Departures

Long-haul routes to and from East and Southeast Asia tend to land early in the morning and depart late in the evening, which puts both ends of the trip in the hours when public transport is thinnest and on-demand pricing is highest.

  • Early arrivals. A six o'clock landing means a car arranged the night before, not one found at six o'clock. Pre-booking fixes the fare and the vehicle while you still have a choice.
  • Late departures. Long-haul check-in opens and closes earlier than short-haul, and a heavy bag drop takes longer than you'd think. Give us the check-in time rather than a pickup time and we'll work backwards.
  • Delays are normal. Where flight monitoring is available the transfer follows your actual landing time, so an hour late in the air doesn't become an hour of a driver waiting on the meter.
  • Seeing someone off. If more people are going to the airport than are flying, count everyone — it's a bigger vehicle or a second one, and it's much cheaper arranged in advance.

Family Travel and Visiting Relatives

Journeys with family arriving from overseas share a shape: several people, a lot of luggage, an unfamiliar airport, and often a mix of ages and paces in the same group.

  • Count the luggage as well as the people. Eight seats and eight large cases don't fit in the same vehicle — give us both numbers.
  • Say who needs the easiest access. If someone would struggle with a high step or a long walk from the drop-off, tell us at booking rather than at the kerb.
  • Coordinate split arrivals. Where a family lands across two or three flights, we'll advise whether one vehicle waiting or separate transfers works out better once we see the times.
  • Nominate one contact. A single number for driver updates saves several people ringing at once from a busy arrivals hall.
  • Book the return with the outbound, particularly around holidays when late availability disappears first.

For business journeys the requirement is usually simple to state and harder to deliver: the car is early rather than on time, the driver knows where the meeting actually is, and nothing about the day is improvised.

Through the year

Lunar New Year and Other Busy Dates

Around Lunar New Year — and around other dates that matter to different communities, which are not all the same dates — several practical things happen at once.

  • The date moves. Lunar New Year falls somewhere between late January and mid-February depending on the year, and it isn't observed identically everywhere: Vietnamese and Korean new year celebrations differ from Chinese ones, and Japanese new year is a separate occasion at the start of January. We don't publish dates — check what applies to you, then tell us the day.
  • Central areas get very busy. Chinatown districts in London, Manchester, Liverpool and Birmingham host large public events with road closures across a wide area. Drop-off points move further out than usual.
  • Long-haul demand concentrates. Flights to the region cluster into the days either side, which means airports are busier and availability tightens.
  • Restaurant and family gatherings run late, and the journey home is at the hour when finding a car is hardest.

What to do about it: book earlier than an ordinary weekend, book the return at the same time as the outbound, and agree a meeting point slightly away from the busiest frontage — it is almost always faster than being taken as close as possible.

"Professional and respectful" is easy to write and impossible to check. Here is the version you can hold us to.

  • We don't decline a booking because of where it's going. A pre-booked journey to any address we cover is a journey we do — not quietly cancelled shortly before pickup, and not repriced on the day.
  • The fare is the fare. Agreed at booking, where fixed pricing applies. Not adjusted for the destination, the hour or the day.
  • Drivers don't comment on passengers. Not on appearance, not on a name, not on where someone is going or where they have come from. No personal questions to fill a silence, no politics, no religion.
  • A quiet journey is a perfectly good journey. Some passengers want to talk after eleven hours in the air and plenty don't. Either is fine and you never need to say which.
  • If we get it wrong, tell us. Report it with your booking reference by phone, WhatsApp or email — you can report on someone else's behalf, which matters when the passenger has gone home. Ops and legal sign-off, not content sign-off. These are commitments about driver behaviour and pricing, enforceable only if the driver terms support them. Confirm with whoever owns those contracts before publishing, and do not soften any of it into vagueness — a vague version of a conduct commitment is worse than none.

Accessibility and Travel Requirements

Requirements vary and so do vehicles, so what we can arrange depends on your specific need, your location and your date. Tell us before booking rather than hoping on the day.

  • Step-free or easier access into and out of the vehicle
  • A folding wheelchair, walking frame or other mobility aid travelling with you
  • Extra time at pickup and drop-off, so nobody is rushed after a long flight
  • Assistance with bags, or to the door
  • A carer, companion or family member travelling in the same vehicle
  • A specific drop-off point relative to a particular entrance
  • A preference about the driver, if you have one — ask and we'll tell you honestly whether it can be arranged for your journey, date and location [CONTENT TEAM: confirm whether driver-gender and language requests can be accommodated, and how reliably. Answer either way — and do not promise a specific language for a specific journey unless it can actually be guaranteed.]

Privacy

  • We ask for what the journey needs. Addresses, times, passenger and luggage numbers, a contact number. Not the reason for the trip.
  • Your driver gets the operational minimum — the booking name, the addresses, the time and any notes you've added as instructions. Nothing else.
  • No categorising. Bookings aren't tagged or grouped by destination, area, nationality or anything else about the passenger, and nothing carries between bookings unless you ask us to save a preference.
  • Retention. Booking records are held for [X] as required for accounting and licensing, then deleted. Detail in our privacy policy.

  2. Give us the exact destination

    The hall name and postcode, not the university. The building and entrance, not just the street.

  3. Flight number and terminal

    So the transfer follows your actual arrival where flight monitoring is available.

  4. Passengers and large cases, separately

    Both numbers, every time, plus anything oversized and anyone travelling to the airport who isn't flying.

  5. Say who's travelling and who's booking

    If they're different people, give us both names and numbers. The driver contacts the traveller; you get the confirmation.

  6. Ask for anything that would help

    Meet & greet, driver details in advance, the name spelled a particular way, a printed confirmation, a quiet journey, a child seat, extra time.

  7. Book the return if you know it

    End of term and holiday periods fill up. Quoting both legs together is quicker than coming back to it.

  8. Confirm the quote

    Where fixed pricing applies, the quoted fare is the fare you pay. Written confirmation goes to whoever booked and whoever is travelling.

Can you take me from Heathrow to my university?

Yes, anywhere in the UK, in one journey with all the luggage. Give us the hall name and postcode rather than the university, your flight number and terminal, and your accommodation check-in window — we plan backwards from the window rather than forwards from the landing.

My check-in window closes at a set time. What if my flight is late?

Tell us the window when you book and we'll build margin into the plan rather than assuming a smooth arrival. Where flight monitoring is available the transfer follows your actual landing time. If the flight you're considering doesn't leave enough room to reach the hall in time, we'd rather tell you before you book the ticket — send us the details early and we'll say honestly whether it works.

I have three large suitcases. What vehicle do I need?

Tell us the number of large cases as well as the number of passengers and we'll size it. A year's luggage for one person is often beyond a saloon, and two people arriving for a first term is usually an estate or larger. We'd rather send the right vehicle than the cheapest one, so if what you've described won't fit we'll say so at quote stage.

Can my parents book and pay from outside the UK?

Yes. The fare is settled entirely by whoever books it, with nothing to handle at the end of the journey. Give us both names and mobile numbers — the driver contacts the person travelling, and the confirmation and receipt go to whoever booked.

How will I find the driver at the airport?

Ask for meet & greet when you book, where it's available on your booking — the driver waits in the arrivals area with a name board showing the name you've given us, rather than meeting you at a kerbside pickup point. Where available we'll also send the driver's name, photograph, vehicle and registration ahead of travel, so you know what you're looking for before you land.

Can you write my name on the board a particular way?

Yes. Tell us the spelling, the order you'd like it in, or a different name you'd rather we used, and that's what goes on the board. No explanation needed.

Can I contact you on WeChat, LINE or KakaoTalk?

[CONTENT TEAM: answer this accurately once the channel decision in §01 is made. If a channel is added, name it and state who answers it and how quickly. If not, say plainly that phone, WhatsApp and email are the routes — an unanswered channel listed here is worse than not listing one.] Phone, WhatsApp and email reach us in the meantime, and we're happy to reply outside UK hours if you're booking from a different time zone.

Can I book the return journey at the same time?

Yes, and it's worth doing. End of term concentrates a lot of people into a few days and availability tightens. Send both legs and we'll quote them together — you don't need to have both flight numbers yet to get a price.

My flight lands at six in the morning. Is that a problem?

No — it's a pre-booked journey like any other, with the fare agreed in advance rather than set by demand at that hour. Long-haul arrivals into the early morning bank are ordinary work for us, and eligible airport bookings include complimentary waiting time subject to our booking terms.

Can more people come to the airport than are flying?

Yes, and it's completely normal. Tell us the total number travelling to the airport rather than only the number flying — it usually means a larger vehicle or a second one, and it's far cheaper arranged in advance than sorted out on the doorstep.

Will a driver speak my language?

We can't guarantee a particular language on a particular journey and we won't pretend otherwise. What we can do is make the journey work without needing one: driver details sent in advance where available, a name board in arrivals, a written confirmation with the destination address on it, and a booking contact who is reachable throughout.

Can I book an executive vehicle or set up an account?

Yes to both. Executive vehicles are available alongside standard options, subject to availability on your route and date, and business accounts with invoicing are available for organisations booking regularly. Written fares for expense claims come as standard.

How far in advance should I book?

For September arrivals, as soon as you have a flight and an accommodation offer — demand for that fortnight concentrates hard and it is the one period where booking late genuinely costs you options. For end of term and holiday periods, as soon as dates are fixed. For everything else, at least the day before.

Is RushXO owned by or affiliated with any community organisation?

No. RushXO is an independent private hire company with no community ownership, endorsement or affiliation. What we commit to is set out on this page, and you can judge it on that.
