Gypsy, Roma & Traveller-Friendly Private Hire and Airport Transfers

rushxo grt community travel fixed-price taxi booking with Rushxo

Published 26 July 2026 · Last reviewed 26 July 2026

RushXO provides pre-booked private hire across the UK — airport transfers, weddings and wedding guests, family visits, community and cultural events, station connections, business travel and long-distance journeys between cities.

Two things on this page are worth reading before anything else. You can be collected from anywhere you can describe to us, not just from a postal address. And a booking we accept is a booking we keep — with a written commitment underneath that, and a way to hold us to it.

A note on terms. Gypsy, Roma and Traveller describe distinct communities with separate histories, identities and traditions — they are not interchangeable words, and not everyone uses the same terminology about themselves. We're a transport company, not an authority on any of that. What we can tell you is how our bookings work, which is what the rest of this page is about.

Where to collect you

Telling Us Where You Are

Most online booking forms want a validated postal address and refuse everything else. That's a limitation of the software, not of what a driver can actually do, and it makes a lot of perfectly ordinary journeys impossible to book online.

We accept any of these:

  • A full postal address. The usual thing, when it applies.
  • A postcode plus a description. "The second gate on the left after the garage" is a perfectly good instruction and drivers use them constantly.
  • A what3words location. Three words identifying a three-metre square anywhere in the country, with no address required. If you haven't used it, the app is free and it takes about twenty seconds.
  • A dropped map pin or coordinates. Send it to us on WhatsApp and we'll attach it to the booking. This is usually the fastest option.
  • A named landmark, junction or lay-by. Tell us over the phone and we'll write it into the booking notes exactly as you've said it.

The same applies to where you're going. Wedding venues down farm tracks, event fields, rural properties and locations where the postcode resolves half a mile away are all routine — tell us what the driver will actually see and we'll pass it on.

What helps a driver find you

  • A visible landmark — a gate, a sign, a building, a junction number.
  • The approach if there's more than one, particularly on a lane where turning round isn't easy.
  • Surface and access — an unmade track or a soft verge is worth mentioning, because it changes which vehicle we send.
  • A contact number that will have signal at the pickup time, or a note telling us it might not.

Content team: confirm the booking system can genuinely accept what3words, coordinates and free-text meeting points, and that these reach the driver intact. If it can't today, this section must not publish — it is the page's primary claim. It is also a general improvement worth making regardless: festival pickups, building sites, rural collections and event car parks all need it.

Not sure how to describe where you are? Send us a pin on WhatsApp and we'll do the rest.

How our bookings work

A Booking We Accept Is a Booking We Keep

What we commit to

  • Bookings are accepted or declined on operational grounds only — whether we have a vehicle free, whether the distance works, whether the vehicle suits the passengers and luggage. Nothing else comes into it.
  • Once we've confirmed, we've committed. If circumstances on our side change, we tell you as early as we possibly can and we help you find an alternative. We don't cancel quietly and leave you to find out at the pickup time.
  • The fare is the fare. Where fixed pricing applies, the price agreed at booking is the price you pay, and it isn't revisited at the roadside.
  • Drivers are expected to be courteous and neutral. No commentary on passengers, no questions about who you are or why you're travelling, and no discussion of politics or personal matters.
  • You don't have to explain anything. We need a pickup point, a destination, a time, passenger and luggage numbers and a contact number. That's the whole list.

If we get it wrong

  1. Tell us — by phone on "020 8888 9988", by WhatsApp, or by email, with your booking reference. Someone else can report on your behalf.
  2. You'll get an acknowledgement within [X working hours], from a named person rather than an autoresponder.
  3. We'll look into it — the booking record, and a conversation with the driver — and tell you what we're doing.
  4. You'll get an outcome in writing within [X working days], including what action was taken.
  5. Conduct matters are dealt with under our driver terms, up to and including removal from RushXO work.
  6. If our answer doesn't satisfy you, you can take it to the authority that licensed the driver, and we'll tell you which one that is rather than making you find out.

We publish this because a standard nobody can read isn't a standard. If you'd like the full wording of our booking terms or complaints policy before you book, ask and we'll send them.

Content team: the bracketed timescales must be replaced with real figures that operations can actually meet, and the commitment above must reflect a written internal policy that drivers have been briefed on. If that policy doesn't exist, write and brief it before publishing this section, or don't publish the page. A published commitment that isn't enforced is worse than silence.

Weddings

Wedding and Wedding Guest Transport

Weddings vary in every respect — size, format, venue, number of events, how many people need moving and when. We plan around the schedule you give us and don't assume anything about it.

  • Guest arrivals from airports, stations and hotels, coordinated rather than booked one at a time
  • Hotel-to-venue transfers with several vehicles departing together, so guests arrive as a group
  • Ceremony to reception where the two are in different places, with waiting built in if there's a gap
  • Family and principal vehicles — executive options where you want them
  • Group vehicles — 8-seaters where available
  • End-of-night returns, booked in advance rather than arranged at midnight
  • Departures afterwards for guests travelling home or on to airports

Venues are frequently somewhere a satnav struggles with. Send us whatever directions the venue gives — they'll have them, because every guest asks — and we'll put them in front of the driver. See wedding transfers.

To be plain about scope: we provide passenger transport. Not wedding planning, catering, decoration or event management, and no decorated or ceremonial vehicles unless confirmed separately — ask and we'll tell you exactly what we can supply.

Send the dates, venues, hotels and guest numbers and we'll quote the whole thing as one arrangement.

Plan wedding transport
Families

Family and Multi-Generational Travel

Families travel in every possible configuration — two people or ten, one generation or three, together or arriving separately. What matters for the booking isn't the shape of the family but the specifics of the journey.

  • Passenger and luggage counts, separately. Both decide the vehicle, and they're often very different numbers.
  • Who needs the easiest access. A high step or a long walk from the drop-off matters more than a postcode does — tell us and we'll plan around it.
  • Child seats — tell us ages and numbers when booking so we can confirm what's possible. [CONTENT TEAM: state RushXO's actual child seat policy here.]
  • Split arrivals. Where people land or arrive across several times, we'll advise whether one vehicle waiting or separate transfers works better.
  • One nominated contact for driver updates rather than several people calling at once.
  • Return journeys booked with the outbound, and sized for whatever's coming back with you.

Group and 8-seater vehicles are available where the option applies to your route and date. We don't operate minibuses or coaches — where a group genuinely needs one, a coach operator is the better answer and we'll say so.

Events

Family Gatherings, Community and Cultural Events

Gatherings, community meetings, cultural events, conferences, fundraising events and social occasions all share the same logistics: a fixed start, a venue people may not know, and a return journey at an hour when transport is hardest to find.

  • Individual, family or group bookings, with several vehicles travelling together where available
  • Airport and station arrivals for people travelling in from further away
  • Hotel-to-venue transfers in both directions
  • Return journeys booked in advance rather than arranged at the end of the evening
  • Venues without an obvious address — see the pickup section above; a pin or a description works fine

Advance booking helps most where an event lands somewhere with limited local transport, or where a lot of people need to leave at once. Tell us the venue and timings and we'll flag anything likely to be difficult. See event transfers.

Airports

Airport Transfers

Pre-booked transfers from all five London airports and across the UK, direct to a hotel, a home, a venue or a destination in another city — one journey, with the luggage, without changes. See all London airport transfers.

Where meet & greet applies, your driver waits in arrivals with a name board showing whatever name you've given us. Where flight monitoring is available, the transfer follows your actual landing time, and eligible airport bookings include complimentary waiting of up to 60 minutes, subject to our booking terms. We quote against your specific date rather than publishing journey times.

Heathrow & Gatwick

LHR · LGW

The two largest, and the most likely arrival points for anyone flying in from abroad. Both have multiple terminals — tell us which when you book.

  • Family arrivals with heavy luggage, sized properly
  • Direct long-distance journeys to other UK cities
  • Heathrow · Gatwick

Stansted, Luton & London City

STN · LTN · LCY

Stansted and Luton carry a high share of late arrivals, when onward public transport has thinned out. London City is the quickest to clear.

  • Late-evening transfers with no interchange
  • Onward travel to the Home Counties, the Midlands and the north
  • Stansted · Luton · London City

We also cover hotel transfers, train station transfers and cruise transfers.

Arriving from overseas

For Visitors Travelling to the UK

People arrive in the UK from all over the world and from every kind of background; we make no assumptions about anyone's nationality or where they've travelled.

Arrange the ground transport before flying

Arrival day is when a pre-booked car earns its keep — after a long flight, in an unfamiliar terminal, often with more luggage than expected. Booking in advance fixes the price, the vehicle and the meeting point while there's still time to think.

UK distances are deceptive

Airports sit further from city centres, and from each other, than visitors usually expect. If there's a time you need to be somewhere, tell us and we'll say honestly whether it works.

Keep the booking reachable offline

Screenshot the confirmation before flying. Roaming and airport Wi-Fi are both unreliable at exactly the moment you need them.

Tell us who the driver should contact

If someone is travelling alone and you're the one who booked, nominate yourself as the contact. The driver calls you rather than a passenger who has just got off a long flight in an unfamiliar airport.

Across the UK

Long-Distance and Cross-Country Journeys

A great many journeys aren't in London at all. Family, weddings and events are spread across the country, and on plenty of routes a car beats the train — particularly with several people, a lot of luggage, or a destination the railway doesn't reach.

  • City to city in one leg, with everything in the vehicle
  • Airport directly to another city, skipping London entirely
  • Journeys to rural destinations where public transport ends some distance short
  • Stops on the way — tell us where and roughly how long and we'll build it into the quote

We'll also tell you when the train is genuinely the better option. On some routes it plainly is, and we'd rather say so than sell a long transfer nobody needed. See UK-wide private hire.

Work & study

Business and Student Travel

Business travel: airport and hotel transfers, conference and meeting transport, and inter-city journeys — with fixed fares where applicable and a written fare for expense claims. Executive vehicles where a journey runs straight into a meeting, and driver details shared ahead of travel where available.

Student travel: airport or station to university accommodation, with room for the luggage that a full term or year requires. Give us the building name and any arrival instructions the university has sent, since campus addresses are frequently hard to find and arrival weeks bring road closures and queues. Family visits during term and journeys home for breaks are booked the same way.

Who we drive

Booking With Us

Our service is available on the same terms to everyone, and a booking is assessed on the journey rather than on the person asking for it. We don't ask about ethnicity, nationality, religion, family circumstances or anything else that has no bearing on getting a car from one place to another — and none of it appears anywhere on a booking.

We're not claiming anything special here, and we're not claiming expertise about any community. What we're describing is what a professional transport company ought to do as a matter of course: take the booking, turn up, treat people properly, and answer for it if something goes wrong. The commitment above sets out how that works in practice, and the complaints route is there because commitments without one aren't worth much.

Accessibility

Accessibility and Travel Requirements

Requirements vary and so do vehicles, so what we can arrange depends on your specific need, your location and your date. Tell us before booking rather than hoping on the day — particularly for pickups where the ground underfoot isn't a paved driveway.

  • Step-free or easier access into and out of the vehicle
  • A folding wheelchair, walking frame or other mobility aid travelling with you
  • Extra time at pickup and drop-off, so nobody is rushed
  • Additional luggage, or items for an occasion
  • Assistance with bags or to the door
  • A carer, companion or family member travelling in the same vehicle
  • Ground conditions at the pickup — an unmade track or a soft verge changes which vehicle we send

Content team — highest-risk section on the page. Publish no claim about wheelchair-accessible vehicles unless RushXO genuinely operates them and can say where and when. If they aren't offered, say so plainly and signpost a provider who does. An ambiguous claim that fails someone is worse than an honest "we can't", and on this page in particular it would undercut everything else.

Call "020 8888 9988" before booking and we'll tell you honestly what we can arrange. See also assisted and door-to-door travel.

Your information

Privacy

  • We ask for what the journey needs. Pickup point, destination, time, passenger and luggage numbers, a contact number. Nothing else.
  • Your driver receives the operational minimum — booking name, locations, times and any notes you've added as instructions. Nothing else.
  • No categorising. Bookings are never tagged or grouped by ethnicity, community, pickup type or anything about the passenger. There is no marker on your record.
  • Retention. Booking records are held for [X] as required for accounting and licensing, then deleted. Detail in our privacy policy.
  • Your choices. You can ask what we hold, ask us to correct it, or ask for deletion where we're not required to keep it.
Why pre-book

Why Pre-Booking Helps

  • Advance planning. Route, timing and vehicle agreed while there's still time to change them.
  • Clear pickup arrangements. A meeting point agreed in writing, in whatever form describes it best.
  • A confirmed booking. Accepted means accepted, with a commitment you can read and a route to complain if we fall short.
  • Airport meet & greet. Available on eligible bookings, with a name board in arrivals.
  • Flight monitoring where available. Transfers follow the actual landing time.
  • Fixed pricing where applicable. Agreed at booking, no surge pricing, no hidden costs.
  • Family and group travel. Vehicles sized to the passengers and the luggage, or several travelling together.
  • Hotel and event transfers. Whole occasions quoted as one plan.
  • Long-distance travel. Cross-country journeys in one leg.
  • Professional service. Licensed drivers, confirmed details, and a phone number that reaches a person.

Booking

How to Book with RushXO

  1. Tell us where to collect you

An address, a postcode with a description, a what3words location, a dropped pin, or a landmark described over the phone. All of them work.

  2. Tell us where you're going

Same options. Add anything the driver would want to know about the approach — a track, a gate, a turning that's easy to miss.

  3. Choose the date and time

And tell us if there's a time you need to arrive by, so we can work backwards from it.

  4. Add flight or train details if relevant

Flight number and terminal, so the transfer follows the actual arrival where flight monitoring is available.

  5. Tell us passengers and luggage — separately

Both numbers, plus anything bulky or awkward. This is what gets the vehicle size right.

  6. Mention accessibility or vehicle requirements

Mobility aids, child seats, extra time, ground conditions at the pickup, a companion travelling with you.

  7. Confirm the quote

Where fixed pricing applies, the quoted fare is the fare you pay. Once we confirm, we've committed.

  8. Receive your booking and driver details

Written confirmation with your reference, plus driver and vehicle information ahead of travel where available.

  9. Meet your driver and travel

At the point you named, in whatever form you described it.

Content team: verify every step against the live booking flow; remove rather than reword anything the system doesn't support — particularly steps 1 and 2, which are the page's central claim. This sequence deliberately differs from the other eight community pages; keep that difference.

13 — Questions

Travel FAQs

Can I be picked up somewhere without a postal address?

Yes. Give us a what3words location, a dropped map pin or coordinates, a postcode plus a description, or a named landmark or junction over the phone. Any of those works, and a pin sent on WhatsApp is usually quickest. Tell us anything useful about the approach as well — a gate, a track surface, a turning that's easy to miss.

What happens if you accept my booking and then cancel it?

Bookings are accepted or declined on operational grounds only — vehicle availability, distance, capacity — and once we've confirmed, we've committed. If something changes on our side we tell you as early as we can and help you find an alternative rather than leaving you to discover it at the pickup time.

If we fall short of that, report it with your booking reference and you'll get an acknowledgement from a named person within [X working hours] and a written outcome within [X working days]. If our answer doesn't satisfy you, you can take it to the authority that licensed the driver and we'll tell you which one that is.

Do I have to explain anything about myself when booking?

No. We need a pickup point, a destination, a time, passenger and luggage numbers and a contact number. Nothing about ethnicity, nationality, religion or circumstances appears anywhere on a booking, and drivers are expected not to ask.

Can I book an airport transfer for my family?

Yes, from any UK airport. Give us the flight details, passenger and luggage counts separately, and anyone who'd benefit from easier access or a shorter walk from the drop-off. Meet & greet is available on eligible bookings, with a name board in arrivals.

Can I arrange transport for a wedding?

Yes — guest arrivals, hotel-to-venue transfers with several vehicles, ceremony-to-reception legs with waiting, family vehicles and end-of-night returns. Send the dates, venues, hotels and guest numbers and we'll quote the whole thing as one arrangement. We provide transport only, not planning, catering, decoration or event management.

Can I book transportation for wedding guests?

Yes, and it's worth arranging early — particularly if the venue is some distance from where guests are staying or has limited local transport. Several vehicles departing together means guests arrive as a group rather than trickling in.

Can I arrange hotel-to-event transfers?

Yes, in both directions and for multiple vehicles where a group is travelling together. Booking the return at the same time is worth doing for evening events.

Can I book transport for a family gathering or community event?

Yes, for individuals, families or groups across several vehicles where available. If the venue is somewhere without an obvious address, a location pin or a description works fine — see the pickup section above.

Can I arrange airport transfers for visitors arriving from abroad?

Yes. Give us the flight numbers and terminals, plus a contact number for the traveller as well as your own. If someone is travelling alone, nominate yourself as the contact and the driver will call you rather than them.

Can I book a group vehicle, and are 8-seaters available?

Where the option applies to your route and date, yes. Give us passenger and luggage counts — both matter, since eight seats and eight large cases don't fit in the same vehicle. We don't operate minibuses or coaches; if a group genuinely needs one, we'll say so.

Can I arrange transport for a multi-generational family?

Yes. Tell us who would benefit from the easiest access or the shortest walk from the drop-off, whether anyone needs extra time, and whether any children need seats. We'll plan the vehicle and the pickup point around that.

Can I request a vehicle suitable for extra luggage?

Yes. Give us the number of bags and rough sizes as well as the passenger count, and mention anything bulky or awkward. If the numbers need a larger vehicle or a second one, we'll say so when quoting rather than at the kerb.

Can my flight be monitored, and is waiting time included?

Where flight monitoring is available, give us the flight number and the transfer follows your actual landing time. Eligible airport bookings include up to 60 minutes of complimentary waiting, subject to our booking terms.

Can I book long-distance UK travel?

Yes, city to city or to rural destinations, in one leg with everything you're carrying. Stops on the way can be arranged — tell us where and roughly how long. We'll also say honestly if the train would be better on a particular route.

How far in advance should I book for a wedding or large event?

As soon as the venue and date are fixed. Multi-vehicle availability on a specific weekend goes first, especially in summer. For a single journey a few days is usually fine, and it costs nothing to ask us to check a date.
