Relocating is not a holiday with more luggage. It is a logistics problem that peaks on a single day, usually while you are exhausted, usually with more bags than you have hands, and usually with a keycollection, a bank appointment or a first day at work waiting on the other side. Almost everything about arrival day is easier if it is planned as a sequence rather than improvised, and the parts people forget are always the same parts.

Work out your luggage volume honestly

This is the most common miscalculation and it happens because people count bags rather than measure them. Two people relocating typically arrive with four large suitcases, two cabin bags, a rucksack each and often a boxed item such as a bike, a musical instrument or a monitor.

That will not go in a saloon car. It will not always go in a single estate. An MPV takes roughly four large cases plus hand luggage, and an V Class with the rear row folded is the realistic choice for a full relocation load. Booking the wrong vehicle at the airport, when your entire life is stacked on a trolley in front of you, is a memorably bad twenty minutes.

Measure before you book. Count large cases, cabin cases, rucksacks and any oversized item separately, and tell the operator all of it. A vehicle upgrade booked in advance costs a fraction of a second car booked in a panic.

The keys problem

Nearly every relocation runs into the same friction: your flight lands at a time that does not match when someone can hand you keys. Letting agents keep office hours. Landlords have jobs. Key safes have codes that get sent to the wrong email.

Confirm three things before you fly. Who physically holds the keys, what time they are available, and what the fallback is if your flight is late. If the answer to the third is "nothing", book a hotel for the first night and collect the keys on day two. Arriving at a locked door at 11pm with six bags is a much worse outcome than one hotel bill.

If the collection point is an agent's office rather than the property, your transfer becomes a two-stop journey. Say so at the time of booking. A driver who knows about the stop will wait; a driver who does not may already be assigned elsewhere.

Set up connectivity and money before you land

An eSIM activated at home is the highest-value fifteen minutes of preparation available. Every arrival-day problem, a delayed agent, a wrong address, a driver you cannot find, is trivially solvable with a working phone and miserable without one.

UK banking has become substantially easier for new arrivals through app-based banks, but proof of address remains the recurring obstacle and you will not have one on day one. A digital account opened before arrival, or one that accepts a tenancy agreement, saves a week of circular problems. Contactless payment works on all London transport, so you do not need a UK account to move around.

Where you land matters more than you think

The airport you fly into shapes arrival day. Heathrow is closest to the centre and best connected. Gatwick is a genuine thirty miles out. Stansted and Luton are further still, and both involve either a coach or a train plus a connection. On a normal trip that is a minor annoyance. With a relocation's worth of luggage and a key handover deadline, it is the difference between a smooth day and a bad one.

If you have any choice in the matter, and cheaper fares often push people towards the further airports, weigh the saving against a door-to-door transfer for a full load. The gap is usually smaller than expected once you price the alternative honestly.

Documents you will want in your hand luggage

Not in a suitcase, in the bag you are carrying. Passport and visa documentation, a printed or offline copy of your tenancy agreement or accommodation booking, your employment contract or university offer letter, and the contact details for whoever is meeting you. Border officials occasionally ask for the address you are staying at, and "it is in my email" is a slow answer when your phone has no signal.

Plan the first week backwards

Arrival day should carry as little as possible. Keys, bags, sleep. Everything else, registering with a GP, national insurance, council tax, a bank branch appointment, transport cards, belongs to days two through seven and none of it is urgent enough to fight jet lag for.

The exception is anything with an appointment attached. If you have a visa biometric appointment, a first day at work or a university registration in the first forty-eight hours, build the whole arrival plan around that fixed point and give yourself a buffer day before it if you possibly can.

Frequently asked questions

What size vehicle do I need for a relocation?

For two people with four large cases plus hand luggage, an MPV at minimum. Add a boxed or oversized item and an V Class is the safe choice.

Can a transfer make an extra stop at a letting agent?

Yes, if you arrange it when booking. An unannounced extra stop on the day is much harder to accommodate.

Should I book a hotel for the first night?

If key collection depends on office hours and your flight lands late or could be delayed, yes. It is cheap insurance.

Do I need a UK bank account to get around?

No. Contactless works on all London transport with a foreign card or phone wallet.

Which airport is easiest to relocate through?

Heathrow, on distance and connections. Gatwick is workable. Stansted and Luton are the hardest with a full load.

What should I keep in hand luggage?

Passport and visa papers, tenancy or accommodation proof, employment or study documents, and the contact details of whoever is handing over keys.

Need a fixed-price transfer?

One honest price, quoted before you book. We track your flight, we wait if you are delayed, and we never add a surge charge.
