Corporate Event Transport in London

Transport is the first and last thing guests experience at a corporate event. A speaker who lands at Heathrow and finds nobody waiting, or a room of delegates queuing for cabs at midnight, colours how the whole event is remembered. Planned event transport turns a guest list into a schedule of confirmed cars, so every arrival and departure is handled before the day starts.

Event transport prices

• Delegate airport transfers – Heathrow to central London from £105; Gatwick to central London from £125.
• Retained chauffeur – the same driver kept for the day for a VIP, speaker or host, from £495 to £995 depending on vehicle and hours.
• People carriers and minibuses – for teams and delegate groups moving together. Quoted per event.
• Late-night departures – home or hotel runs after dinners and parties. Quoted per event.

All fares are fixed before the event and can be billed on one invoice through a corporate account, tagged by event, client or cost centre.

How we plan event transport

1. Share the guest list. A simple spreadsheet works: name, mobile number, arrival flight or train, pickup address, hotel, and departure details.
2. Group the movements. Arrivals landing close together can share a larger vehicle; VIPs and speakers get their own car.
3. Confirm a schedule. You receive a list of every booked journey with times and vehicle types.
4. Handle changes. Flight changes and late additions are updated in the schedule as they happen, so send them as soon as you know.
5. Close out. One invoice after the event, broken down the way your finance team needs it.

VIPs, speakers and hosts

Keynote speakers, executives and guests of honour usually need more than a single transfer. A retained chauffeur stays with them for the day: airport to hotel, hotel to venue, a lunch meeting across town and back for the evening dinner. They always know where their car is, and organisers do not have to rebook every leg. Executive Mercedes vehicles are available for client-facing guests.

Venue arrivals and departures

Most London venues have limited kerb space and strict loading rules. We plan set-down and pick-up points with you in advance, using the venue's own instructions where they exist. For late departures, pre-booked cars waiting at a confirmed time are far more reliable than guests hailing cabs or waiting for app rides at the same moment as hundreds of others.

Offsites and events outside London

Away days at country hotels and venues in the Home Counties often have no realistic public transport. A people carrier or minibus from your office keeps the team together and arrives on time. For multi-day events, we can schedule morning and evening runs between hotels and the venue.
